How to Run and Export the Customer Aging Report in Sage Intacct

Step-by-step: run the Customer Aging report in Sage Intacct, set the aging basis and filters, export it to Excel or CSV, schedule it, and turn it into a collections list.

Overdue receivables are the normal state of B2B trade, not the exception. Atradius found that 43% of the value of B2B sales in the United States was overdue in 2025, and the only report that tells you how much of that is sitting in your own ledger is the aging report. If your company runs on Sage Intacct, that report is called Customer Aging, it lives under Accounts Receivable rather than in the Reports center by default, and it can be viewed, exported, memorized, scheduled, and delivered to a cloud folder without anyone touching it on the day. This guide covers all of it: how to run the report, which settings change what the numbers say, how to get a clean file out, and how to turn that file into a collections list. To run the aging report in Sage Intacct, go to Accounts Receivable, then All, then Reports, then Customer aging. Set Report as of, choose Due date under Based on, pick Summary or Detail, and select View to see it or Export to download it as Excel or CSV. Memorize the report and schedule it to email or a cloud folder so the file arrives on its own.

What Is the Customer Aging Report in Sage Intacct?

The Customer Aging report lists every customer who owes you money, bucketed by how far past due each balance is as of a date you choose. Sage's documentation for the Customer Aging report describes it as the report finance managers use to spot and correct problems in the management of receivables, and that is exactly the job: it is the single view of who owes what, and for how long.

The buckets

The report uses the standard aging periods: current, one to thirty days, thirty one to sixty, sixty one to ninety, and over ninety. A balance sixty six days past its due date shows up in the sixty one to ninety column. If those periods do not match your terms, the aging period ranges are set in the Accounts Receivable configuration, and the report picks them up.

Where retainage shows up

If your company subscribes to the Construction application, customer retainage appears on the Customer Aging report. Since 2024 Release 1, the report shows the retainage balance as of the Date to use you select rather than as of today, which matters when you are reconciling a prior month end. Contractors reading this report should keep retainage separate from ordinary overdue balances in their heads: retainage is withheld by contract and is not a late payment, so it has no place on a collections list until its release conditions are met.

Summary versus detail

The Summary report type condenses every customer to one line. The Detail report type shows one line per open invoice, with the document number, the invoice, due, and GL posting dates, the days aged, the transaction currency, and the transaction amount. Summary is the report you read; Detail is the report you work.

How Do You Run the Customer Aging Report?

The report is three clicks away once you know where it lives.

Open it from Accounts Receivable

Go to Accounts Receivable, then All, then Reports, then Customer aging. The report settings page opens. If your administrator has added the report to the Reports center, you can also reach it from Reports, then Reports center, then All reports, filtered to Accounts Receivable.

Set the date and the basis

Under Time period, set Report as of to Today for a live collections read, or to Select date and a specific date when you are closing a month. Then set Based on. Sage Intacct will age from the invoice date, the due date, or the GL posting date, and the choice you make appears at the head of the report. For collections, choose due date, because aging from the invoice date overstates lateness for any customer on longer terms. For tying the report to the general ledger, choose GL posting date, and run the AR subledger report on the same basis.

Choose the filters

The Filters section lets you restrict the report to a customer range, a list of customers, a customer group, a customer type, a territory, or a transaction currency. Leave everything blank to get the whole book. Multi-entity companies also see Location and Department, plus Show for, which controls whether the report includes child locations. If you want one report page per entity or location, select Individual report, which forces the report to run through Process & store rather than on screen.

Format it

Under Formatting, pick Summary or Detail, set Sort by (customer ID is the default, and amount descending is more useful for collections), and decide whether to show customers with a zero balance. The Dates to display option lets you drop the invoice, due, or GL posting date columns from the detail report so the export carries only the dates your team uses.

View it

Select View. The report renders in the browser, and every total is a link you can drill into to see the invoices behind it. If the results are not what you expected, select Customize to return to the settings page and refine.

Which Route Gets the Aging Data Out of Sage Intacct?

Export to Excel or CSV

On the report settings page, select Export and choose the format. Sage's export documentation lists HTML, CSV, PDF, and Excel for most standard reports. When the export completes, download and save the file. The Excel export runs the report automatically, so you do not need to View it first, but it is worth a View to confirm the filters before you hand the file to anyone.

Memorize and schedule it

Select Memorize to save the report with its settings. Memorized reports can be scheduled to run daily, weekly, monthly, or on every general ledger close, and each schedule can deliver the report by email, store it in Intacct, or drop it into Dropbox, Box, Google Drive, Amazon S3, or an HTTP endpoint. The schedule report delivery documentation recommends reserving email for small reports and leaving the As of date blank so every run ages from the day it runs. For a collections team, a Detail report scheduled every Monday morning to a shared cloud folder removes the one step that most often does not happen.

Process and store for big books

If the report is large, or you selected Individual report to get one page per entity, use Process & store. The report runs offline and lands in My Stored Reports or the cloud target you chose. Stored reports are private to the user who ran them, so route them to a shared cloud folder when the team needs them.

Which Settings Change What the Report Says?

Four choices decide whether two people running the same report get the same numbers.

Aging basis

Invoice date, due date, and GL posting date produce three different reports from the same ledger. Due date is the only one that measures lateness the way your customer understands it. Agree on one basis across the team and memorize the report with it, so nobody has to remember.

Reporting currency

Multi-entity companies with more than one base currency see a Reporting currency section. Pick one currency for the whole report, then choose whether to convert from each entity's base currency or from each invoice's transaction currency. The two choices produce different totals because of exchange rate differences. Sort nothing until the currency is settled, because a mixed column will rank a small balance above a large one.

Zero balances

The default hides customers with a zero balance. Keep it that way for collections. Show them only when you are reconciling, because a customer with offsetting invoices and credits is a reconciliation question, not a collections one.

Reversals

The report displays reversed transactions by default. Turning that off in the Accounts Receivable configuration cleans up the view but can make the subledger and the general ledger disagree, so leave it on if the same report is used to tie out.

What Do You Do With the Export?

An aging report nobody acts on is a spreadsheet. The export earns its keep when it drives a next touch on every overdue account.

Build the worklist

Take the Detail export, sort by days aged and then by transaction amount within each bucket, and collapse it by customer before anyone dials, so one conversation covers every open invoice on the account. Set a floor so nobody spends an hour on a small balance, and park retainage rows in their own tab.

Assign an action per bucket

Recently past due gets a polite reminder, and automated is fine. The middle buckets get a reminder plus a call on the larger balances.
